At Walking The Himalayas, we truly understand the disappointment of having to cancel a trek or when a trek gets called off unexpectedly. As passionate trekkers ourselves, we know how much effort, planning, and training go into preparing for a Himalayan adventure. That’s why we’ve designed a trekker-friendly cancellation policy — one that ensures fairness, transparency, and care for every participant when unforeseen circumstances arise.

Walking The Himalayas – Terms and Conditions
Participant Responsibilities
1. Fitness and Health
You are responsible for ensuring that you are physically and mentally prepared for the trek or expedition you are joining. You must declare that you are in good health before the trek. Participants are expected to follow all pre-trek fitness routines as advised by the Walking The Himalayas team.
2. Required Documents
You must obtain and submit all the necessary documents required for your trek, including valid photo identification, medical certificates, and (if applicable) passports and visas. Failure to provide required documents may lead to disqualification from the trek without a refund.
3. Safety Protocols
All trekkers must adhere to the safety protocols and instructions provided by Walking The Himalayas trek leaders and staff. Any behavior that endangers your safety or that of others may result in removal from the trek without a refund.
4. Assumption of Risk
By participating in a trek with Walking The Himalayas, you acknowledge that trekking and outdoor travel involve inherent risks, including injury, illness, or loss of property. You voluntarily assume all such risks and agree that Walking The Himalayas, its employees, and associates will not be held liable for any accidents, injuries, or losses that occur during the trek.
Cancellation and Refund Policy
1. Cancellation by Walking The Himalayas
If Walking The Himalayas cancels a trek before it begins, participants will receive a 96% refund of the total trek fee. The remaining 4% is retained as processing and administrative costs.
2. No Refund Mid-Trek
No refunds will be provided if a participant:

Leaves the trek midway due to personal reasons, illness, or injury.

Misses the start of the trek due to late arrival or transportation delays.

Faces trek cancellation due to weather conditions, natural calamities, or government restrictions.
3. Walking The Himalayas Shield
Walking The Himalayas offers an optional “Shield Protection Plan” that covers trek suspensions caused by external factors such as natural disasters, political unrest, or government-imposed restrictions.
Under this plan, trekkers will receive a full refund if the trek is officially suspended by Walking The Himalayas due to such circumstances.
Note: The Shield does not cover personal cancellations.
4. Personal Cancellations
If you choose to cancel your booking for personal reasons, the refund policy as per your trek’s specific cancellation terms will apply. The Walking The Himalayas Shield does not cover personal cancellations or changes in travel plans.
Rental Gear Policies
1. Gear Cancellation and Modifications
If you wish to change or postpone your rental gear order, you must cancel your current order and re-book the desired items.
Size or gear modifications are only possible up to 24 hours before the trek start date, subject to availability. No size or gear changes are permitted once you reach the base camp.
2. Damaged or Lost Gear
Participants are responsible for the proper care and return of all rental gear.

Any damage or loss will result in a fine, deducted from your refundable security deposit.

If the fine exceeds your deposit amount, you must pay the balance at the base camp before departure.
Acknowledgment
By registering for a trek with Walking The Himalayas, you confirm that you have read, understood, and agreed to these Terms and Conditions. You acknowledge the risks involved in trekking and voluntarily accept full responsibility for your participation.

WALKING THE HIMALAYAS – STANDARD CANCELLATION POLICY
We understand how disappointing it can be when you have to cancel your trek after weeks or months of preparation. To make things easier for our trekkers, we have a fair and transparent cancellation policy.

All cancellation requests must be sent via email to info@walkingthehimalayas.com.

Refunds are processed within 7–10 working days after receiving your cancellation request.

Trek fees are non-transferable once booked.

If a trek is cancelled by Walking The Himalayas due to unforeseen circumstances (weather, government orders, natural calamities, etc.), trekkers will receive a full refund or an option to reschedule their trek.
